You turn checklists and spreadsheets into clean systems, keep people aligned, and run projects without constant firefighting. When something breaks, you find the cause and drive the fix. This role is primarily focused on running our Marketing Operations engine (80â85%), with a smaller Executive Operations lane (15â20%). đ€With Us, Youâll Manage a team in the operations pod (5â6 people) responsible for promos, webinars, email campaigns, and internal training. Own promo timelines end to end, assign clear owners and deadlines, and keep creatives and builders delivering on schedule. Investigate and fix broken processes, events, and automations instead of escalating them. Maintain and refine systems and checklists that keep the team moving fast without chaos. Work closely with our Marketing Project Manager and senior creatives to keep operations clean and predictable. Drive team accountability by reviewing daily standups, following up on commitments, enforcing deadlines, and escalating patterns before they become problems. Drive leadership effectiveness through structured meeting facilitation, weekly business reporting, and rigorous accountability tracking, ensuring priorities are clear, commitments are followed through, and leadership teams stay aligned and on track. đWhy This Role Will Accelerate Your Career 1. Real Leadership Exposure You'll manage a team of 5â6 direct reports and report directly to the CEO/CMO, who provides strategic direction, with full visibility into how strategic decisions get made. This is people leadership with real stakes and critical coordination across teams and projects. đ ïžWhat Youâll Do as Our Marketing Project Manager 1. Own operational execution end-to-end Own timelines, task lists, and follow through for promos, webinars, email campaigns, and related workflows. Turn briefs into execution plans, keep documentation accurate, and prevent delivery misses. 2. Lead a pod Set priorities, review work, and hold the pod to deadlines and quality standards. Review daily standups, follow up on commitments, and address slippage directly instead of letting it slide. Run simple routines like weekly meetings, check-ins, 1:1s, and status updates so everyone knows whatâs next. Ensure events are set up correctly in AEvent and Zoom, invites and reminders go out on schedule, and assets are shipped on time. Support live delivery during launches and coordinate recordings and follow-ups. QA the full attendee journey before every event. 3. Own training operations Ensure training sessions are set up and QA'd. Maintain schedules. Ensure sessions run as planned. 4. Investigate and resolve issues When events, automations, or processes fail, run the investigation. Gather facts, identify root causes, coordinate fixes, and document outcomes. 5. Build and maintain clean systems Build, maintain, and enforce SOPs, QA checklists, trackers, and internal documentation. Run post-promo retrospectives and turn findings into process improvements for the next cycle. 6. Track and report key metrics Maintain simple views of delivery status, event performance, and pod output. Flag risks early. đWhat Success Looks Like Zero mystery misses on critical projects. Leadership can see status, risks, and impact without chasing. đWhat Weâre Looking For Core Experience Strong coordination experience in operations, project coordination, or similar roles. Proven ability to deliver projects on time through structure, not heroics. Experience enforcing deadlines, addressing underperformance directly and escalating patterns with evidence. Technical Requirements Comfortable working with: Spreadsheets (Google Sheets or Excel). Project and task tools (ClickUp, Asana, Trello, or similar). Webinar and event tools (Zoom, AEvent, or equivalents). CRM and email platforms (HubSpot, Ongage, or similar). You think in systems and flows, dig into tools and data, and want to understand whatâs really happening. Personality Comfortable giving and receiving direct, honest feedback. Willing to raise risks early and challenge timelines when needed. Strong finisher who closes loops. Detail-oriented and precise. Systems thinker who fixes root causes. Calm under pressure, especially during live events. Preferred Background Operations or coordination roles in online businesses, SaaS, agencies, or remote teams.
